What's inside
- Expenses: date, vendor, category (dropdown), amount, business-use percentage and a receipts column. The deductible amount is calculated for you.
- Income: each payment by client and invoice number.
- Mileage: trip log using the 2026 IRS rates (72.5¢ through June 30 and 76¢ from July 1), calculated by trip date.
- Summary: income, expenses and mileage by month and category, and an estimated net profit.
Using it well
- Log expenses weekly, not at tax time. Snap a photo of each receipt and note the file name.
- For meals enter 50% as the business use; for a phone or internet bill enter your business share.
- Use the net profit on the Summary sheet as your input to the quarterly tax calculator.
- Back up the file. Keep it for at least three years after filing the return it supports, as the IRS generally advises.
The categories are common Schedule C expense headings. Which expenses are deductible, and how much, depends on IRS rules; see our deductions checklist. The summary is a simple profit figure and ignores depreciation, home office and other adjustments your tax preparer may apply.
