Most late payments are paperwork delays, not refusals. Start friendly, keep a dated record of every message, and get firmer only if you hear nothing. The emails below follow that order.
1. Friendly reminder (a few days before the due date)
Subject: Reminder: invoice [#] due [date]
Hi [Client name],
Just a quick reminder that invoice [#] for [amount] is due on [due date]. You can pay by [payment method / link].
If anything about the invoice needs correcting, or if you need a purchase order number or other detail from me to process it, let me know and I'll turn it around today.
Thanks,
[Your name]
2. The day after it is due
Subject: Invoice [#] is now due
Hi [Client name],
Invoice [#] for [amount] was due yesterday, [due date]. I've attached it again and you can pay here: [payment link].
If you've already sent payment, thank you, and please ignore this note. If there's a problem on your end, such as a missing approval or a vendor-setup step, tell me what you need and I'll help get it sorted.
Best,
[Your name]
3. One to two weeks overdue
Subject: Overdue invoice [#]: [amount]
Hi [Client name],
I haven't received payment for invoice [#] ([amount]), which was due on [due date] and is now [X] days overdue. A copy is attached.
Could you confirm the date I can expect payment? If it's easiest, I'm happy to jump on a five-minute call.
Thank you,
[Your name]
4. A month overdue: firmer, mentions the agreed late fee
Subject: Second notice: invoice [#] is [X] days overdue
Hi [Client name],
This is a second notice that invoice [#] for [amount] remains unpaid [X] days after its due date of [due date].
As set out in our agreement, a late fee of [rate] applies to overdue balances, bringing the amount now due to [new total]. I'd like to resolve this by [date, about 5 business days away]. Until payment is received I'll need to pause further work on [project].
Please reply today with a payment date, or tell me if there's an issue I can fix.
Regards,
[Your name]
5. Final notice before further action
Subject: Final notice: invoice [#]
Hi [Client name],
I haven't had a response to my earlier messages about invoice [#] for [amount], now [X] days overdue.
If I don't receive payment or a written payment plan by [date], I will have to consider further steps to collect, which may include a demand letter or small-claims court. I'd much rather resolve this directly, so please reply by [date].
Regards,
[Your name]
Tips that get you paid faster
Make paying easy. Put a payment link and the due date at the top of the invoice. Our free invoice generator does the layout.
Ask for a deposit on new projects, or split large projects into milestone invoices.
Agree late fees in writing before you start (contract or proposal). A fee that appears for the first time on the reminder is harder to collect. Rules on late fees and interest differ by state and country.
Find the right person. Often the real obstacle is that your invoice sits with someone in accounts payable who needs a purchase order or vendor form (such as a W-9). Ask.
Call. A short call often solves what three emails don't.
Know your options. Small-claims courts handle disputes under a state-specific dollar limit. Before threatening anything, check your local rules or ask an attorney.
